Create a compliance rule
A compliance rule checks the workers in its scope against conditions you set, such as "everyone at these sites must hold a Working with Children Check". Workers who fail get a tag, and the rule's results show on the Compliance Overview.
A rule Oho runs against the right workers, with a tag on everyone who fails it.
Compliance rules are part of the Premium plan. See Plans and features. If the rule is "anyone in this position must hold X", use a position requirement instead.
Step 1: Open Compliance Rules
In the left menu under Continuous, click Compliance Rules, then click Create Rule. On the Compliance Overview, Manage Rules beside the Compliance Rules table opens the same page.
The editor has five steps: Basics, Scope, Conditions, Actions and Review.
Step 2: Name it
- Test Name: what the rule checks, for example "WWCC Required".
- Description: optional. Say why the rule exists.
- Severity: Critical, Warning or Info.
Step 3: Choose who it applies to
With no filters, the rule applies to all workers. Click Add Filter to narrow it, then pick a field, an operator and a value.
Several filters narrow the scope together. Two Organisation · Equals filters for different organisations put nobody in scope, because no worker belongs to both.
To cover several organisations, use one filter: Organisation · In, then pick each organisation from the list. Organisation matches the worker's own organisation by name, so pick every organisation you mean, including any that sit under a parent.
Step 4: Say what must be true
- Click Add Condition and choose Worker or Credential.
- Pick a field, an operator and a value.
- For a credential condition, use Which credentials? and + Filter to narrow the credentials it looks at, and choose ANY credential or ALL credentials.
- Use AND or OR to combine conditions, and Add Group for a mix of both.
For "must hold a Working with Children Check": add a Credential condition with Credential Type · In and pick the check types you accept. Leave ANY credential selected. A worker with no matching credential fails.
Step 5: Choose what happens
- On Failure: pick the Tag to apply to workers who fail. This is required.
- To clear that tag once a worker passes, switch on Also take action when a worker passes and pick the Tag to remove.
Step 6: Review and create
Check the summary, leave the rule switched on, and click Create Rule.
Saving doesn't run the rule. Oho runs every rule that's switched on once a day, and again shortly after credentials change. To see results straight away, click the refresh icon (Re-evaluate now) on the rule. Last checked under the rule shows when it last ran.
My rule shows 0 in scope
On the Compliance Rules page this reads Not yet evaluated. Check two things:
- It hasn't run since you saved it. Click Re-evaluate now, then check again.
- The scope filters can't all match. Several filters must all match the same worker. Replace one filter per organisation with a single Organisation · In filter.
